You have been asked to complete a proposal for you to coordinate an employee holiday extravaganza event for the ABC Company employees and their families. The company has had a stellar year and they want to show their 1,000 employees their appreciation for all their hard work. ABC wants to ensure that their employees know that they are appreciated and want to thank them and their families for their service and dedication to helping the company grow.
This is an annual event that takes place on the 2nd Saturday of December and this year it falls on Saturday, December 10, 2022. However, the company has decided that since they have not been able to host the event for the last few years, they want to be sure to make this event very special and memorable to their employees.
Client Requirements:
Site: Any location that accommodates all the needs of the event in the Phoenix Metro area
Budget: $500,000
Expected attendance – 3,000
Family Friendly
Kids Zone – all ages
Food & Beverages (includes alcohol)
Entertainment
Holiday Gifts for all
Special accommodations for their 30 disabled employees
Your proposal must include the following elements:
Define the Event including its purpose, goals and objectives as well as the expected outcomes using the SMART analysis.
Determine what resources are needed for the event. Must include a brief paragraph on Time, Money, Personnel, Space and Vendors.
Preliminary cost estimates
A detailed timeline.
Draw a detailed site/floor plan for you event space (does not have to be to scale but needs to be sure to accommodate for all fire codes).
Provide catering menus – include special dietary options
A complete vendor list
Emergency Preparedness and Risk Assessments for at least 3 different threats
You are one of the finalists to get awarded the bid to coordinate the event. Since you are a finalist, you will need to present you’re concept and ideas to the board of ABC to win them over to your plan. You will have about 3 ½ minutes to convince them that you have the best ideas for their event. Consider this your sales pitch to convince them you have the best ideas and event plan. You do not need to give all details only the highlights of what makes your plan the best.
Also, I need this on the slides after 24 hours (You are one of the finalists to get awarded the bid to coordinate the event. Since you are a finalist, you will need to present you’re concept and ideas to the board of ABC to win them over to your plan. You will have about 2 minutes to convince them that you have the best ideas for their event. Consider this your sales pitch to convince them you have the best ideas and event plan.
